Hotel Reservation Guidelines for IVCO 2017

Hotel rooms are reserved at special rates for the registered participants of IVCO 2017. Please note that the special rates are available only when you make a reservation through this website.

All rooms can only be reserved by booking through the Housing Bureau of IVCO 2017 (Kim’s Travel Service Co., Ltd.). Payments will be processed using the local currency (KRW). Any inquiry or request shall be made in writing to the Housing Bureau (accommodation@ivco2017seoul.com), NOT directly to the hotel.

Hotel reservations should be made by Friday 22nd September, 2017.
Confirmation of reservation or requests made after this date will be subject to the limited availability of rooms.

How to make hotel reservations

* Double: 1 bed, Twin: 2 separate beds
All room rates are inclusive of tax & service charges.

Shuttle buses will be provided between the conference venue and hotels. A detailed timetable will be provided later. (Glad Live Gangnam, Shilla Stay Yeoksam and Artnouveau Yeoksam)

Payment Information

All reservation payments will be made in KRW through a credit card or bank transfer.

Credit Card
As a reservation deposit, the rate of a one-night stay will be charged to your credit card by the Housing Bureau (Payment Gateway Agency: Kim’s Travel Service Co., Ltd.) within one week from the date you make your reservation, and the rest of your balance will be charged on Friday 22nd September, 2017.
If you need an invoice for the payment, please contact the Housing Bureau via e-mail (accommodation@ivco2017seoul.com) to issue an invoice.
A receipt will be issued by the Housing Bureau upon request. A letter of confirmation will be sent to you when the deposit is paid.

Bank Transfer
If you choose to pay via bank transfer, you will be asked to remit the reservation deposit (a one-night stay) to the Housing Bureau within two weeks from the date you make your reservation and the rest of your balance should be sent by Friday 22nd September, 2017.
If you need an invoice for the payment, please contact the Housing Bureau via e-mail (accommodation@ivco2017seoul.com) to issue an invoice.
A letter of confirmation will be sent to you when the deposit is paid.
All bank charges for remittance shall be paid by the participant.
A copy of receipt for your bank remittance along with your name shall be sent to the Housing Bureau via email (accommodation@ivco2017seoul.com) or fax (+82-2-571-9921).

Important Notice for Hotel Reservation

Please kindly note that accommodation is not part of the conference registration fee and all participants need to book their own accommodation. Although the host has reserved a number of rooms near the conference venue, the rooms will fill quickly due to an Air Show around the conference period.

We therefore encourage you to reserve your accommodation as early as possible and preferably by the end of August to ensure that you stay at your preferred hotel during the conference.

Cancellation and Refund Policy

Any request or cancellation shall be made via email (accommodation@ivco2017seoul.com) or fax (+82-2-571-9921) to the Housing Bureau.
All dates are based on Korean standard time (GMT +9 hours).
Refunds will be made after the conference due to administrative reasons, and bank service charges will be deducted from the refund amount.

*No-show: do not check in without any notice in advance.
