Online Registration Guide

Registration Guidelines for IVCO 2017

For all participants in the conference, online registration to the conference website is required. This also applies to invited speakers and partners.

Online registrations will close on Monday 9th October, 2017. Registrations after this date will be accepted on a first-come, first-serve basis depending on the availability of places. Registration fees can be paid via a credit card or bank transfer until Monday 9th October, 2017, but those who register after this date must pay their registration fees via credit card instead of wire transfer.

Participants will receive a name badge on site. All participants are asked to wear the name badge at all times throughout the conference. The badge is valid exclusively for the registered participants and is not transferable.

The registration of participants is being handled by the International Exchange Promotion Association (INEPA), the Republic of Korea. For further inquiries on registration, please contact the INEPA.

How to Register

Registration Fees

We offer a group fee discount to group registrations of 10 or more delegates from the same organisation registering at the same time. Please email registration@ivco2017seoul.com if you are an organisation registering 10 or more delegates at the same time.

IVCO 연례총회는 매년 Forum이 주관하는 Forum 회원 기관 중심의 총회이며 참석 가능한 인원이 제한되어 있으므로 IVCO 2017 참석을 원하시는 국내참가자분들께서는 등록을 진행하시기 전에 반드시 IVCO 2017 준비사무국(registration@ivco2017seoul.com)으로 문의해 주시기 바랍니다. 또한 행사 당일 현장등록은 불가하오니, 반드시 사전 문의 후 참석 가능 여부를 확인해 주시기 바랍니다. 

Onsite registration for IVCO 2017 Seoul is not available. Please complete your registration by Monday 9th October.

Registration Fee Coverage

The registration fees cover: participation in the plenary sessions and parallel dialogue sessions, coffee breaks and lunches on the conference days, and conference materials and handouts. A Welcome Reception on Sunday 22nd October and Closing Cocktails on Wednesday 25th October are included in the full conference tickets.

Cancellation and Refund Policy

Cancellation of registration and participation in the conference shall be made in writing by sending an email to registration@ivco2017seoul.com with indication of a full name, invoice number and bank details for reimbursement.

In case of cancellation of registration before and on Monday 9th October, 2017 (Korean time), the costs of the registration fee are reimbursed with exception of any additional bank or credit card charges. An administrative fee of 60 euros will be deducted for processing the reimbursement, and reimbursements will be made after the conference.

If a request of cancellation is made on and after 10th October, 2017 (Korean Time) or in case of non-attendance, there will be no reimbursement of the registration fee.

Changes to the registration, such as a name change or the registration of a replacement participant, can be made free of additional charges after payment has been received. Any request or inquiries can be communicated via email to registration@ivco2017seoul.com by Monday 9th October, 2017.

Insurance

During the conference, participants bear the risk of personal injury or loss of property and/or luggage. We strongly recommend that you arrange insurance for yourself when making your travel arrangements. The insurance policy is recommended to cover reimbursement of registration fees in case of cancellation, accident, loss or damage to personal property as well as health insurance. The insurance is also recommended to cover any financial losses regarding accommodation and travel scheduling due to service disruptions arising from insolvency, strikes or other labour disputes. The conference organisers are in no way responsible for any insurance-related claims.

Payment Method

To complete the registration, payment shall be made in full. Access to the conference will be provided only after the fee is paid in full. Once the payment is made, a ‘Confirmation of Registration‘ will be sent to the registered email address and the registration status at ‘Mypage‘ will be shown as ‘Completed‘.

Conference fees are accepted in South Korean Won (KRW) when paid by credit card (Visa, Master, and JCB) or in Euro when paid by wire transfer.

Important Notice for Credit Card Payment from Overseas!

IVCO 2017 is dedicated to providing secure online payment methods. That’s why we’ve added an extra level of security for Visa, Master, and JCB payments, which protects you from the unauthorised use of your credit card. 3-D Secure technology consists of the programs Verified by VISA, Master SecureCode and J/Secure.

After you enter your credit card details in our registration fee payment webpage, a new window will appear, requesting your personal secure code / password. Your financial institution will authenticate the transaction within seconds, as well as confirm that you are the individual making the registration fee payment.

If you haven’t yet registered with programs Verified by VISA, Master SecureCode and J/Secure, you’ll need to activate this feature first. You can do this during the payment process, or activate it in advance through the Visa, Master, and JCB website.

After you register, you can use the security code for all your online transactions. More and more websites that feature online payments are making this extra security code compulsory.

Legal Disclaimer

The organisers are not liable for any damages to participants that occur in connection to attendance at the IVCO 2017 conference, unless the damage was intentionally caused by the organiser or occurred as an act of negligence on the part of the organiser.
The conference organisers reserve the right to change the programme, related activities, topics and participating speakers if necessary. The organisers are not liable for losses incurred by cancellation of the conference as a result of circumstances beyond their control. Such circumstances include, for example, war, warlike disputes (with and without declarations of war), terrorism, hijackings, military operations, rioting, civil war, rebellion, insurgency and uprisings, laws or government regulations, denial of visa issuance, explosions, travel delays or difficulties, insolvency of airline companies and strikes. The organisers will take all reasonable steps to proceed with the conference in spite of such an event.
All contractual relations are bound by the laws of the Republic of Korea. The place of jurisdiction is Seoul, Republic of Korea.
